We are looking for a motivated and service-oriented secretary to support the 3 members of our Executive Committee in their daily activities.
This role focuses on taking full ownership of administrative and organizational tasks , ensuring that Executive Committee members can concentrate on strategic priorities. It offers a strong learning opportunity and exposure to senior leadership , making it an ideal next step for a young graduate or a candidate with a first professional experience.
Key Responsibilities
• Take ownership of all administrative tasks to support senior leaders
• Manage calendars, coordinate agendas, schedule and organize meetings (logistics, rooms, invitations, materials)
• Organize business travel (flights, hotels, itineraries) , including last-minute changes and urgent requests
• Ensure relevant documents are ready on time; and take structured meeting minutes for key meetings (e.g. European Works Council)
• Prepare and format presentations, reports, and documents, ensure professional quality and consistency of materials
• Provide administrative support for leadership meetings, events, and trainings
• Provide ad hoc support to HQ departments on request of EXCOM to ensure smooth execution of key initiatives
Profile
• Young graduate or candidate with a first experience (secretary, office assistant, or similar)
• Good organizational skills, while being comfortable managing multiple tasks and fast-changing priorities
• IT-savvy with solid knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and a strong interest in digital tools and AI
• Good working knowledge of French, Dutch and English
• Strong service mindset, reliable and willingness to support others
• Highly flexible, adaptable and responsive in a changing environment
• Ability to anticipate needs and support proactively
• Eager to learn and develop
• Able to work with senior stakeholders in a professional manner
• Positive attitude and strong team spirit
• Based onsite at HQ (Brussels)
• Flexible working hours required
• Availability outside office hours in case of urgency (e.g. travel changes)
